We respect privacy and your right to control your personal data. We will be clear about the data we collect and why. We take the protection of your data seriously. We do not, and will not, sell your data to third parties. 

This Privacy Policy describes the type of information that we collect from you through your use of our website, both events and the Community, www.events4kids.co.uk, our services and associated interaction you may have with us via calls, email or social media (together called the “Platform”) and how that information may be used or disclosed by us as well as describing the safeguards we use to protect it. 

We respect your right to privacy and will only process personal information under the General Data Protection Regulation ((EU) 2016/679) (“GDPR”) and any national laws in the UK including the Data Protection Act 2018 or any successor legislation to GDPR (“Data Protection Legislation”).

The prime purpose of collecting your data is to enable us to successfully manage your membership, the events that you chose to book and the Community aspect of the website. 

If you do not accept and agree with this Privacy Policy, you must stop using our Platform immediately.
 

This Privacy Policy (the ‘Policy’) explains the personal information we collect from you, either directly or indirectly, and how we will use it. Personal information is any information that can be used to identify you or that we can link to you. The Policy also sets out the choices you can make about the data we collect, and how you can control these decisions. Please read this Policy carefully to understand how Events4Kids may collect and use your personal information.

The terms ‘we’, ‘us’, or ‘Events4Kids’ are each intended as a reference to Events4Kids.

The terms ‘Event Leaders’ and ‘Organisers’ reference individuals using Events4Kids to advertise their events, they are not employed by Events4Kids but use our services to promote and sell events.  This is an important distinction for purposes of certain data protection laws and is explained in more detail below.

The Types of Personal Information We Collect

When you use or interact with us through the Platform, we may collect Personal Data.  Sometimes this will be on our behalf and other times this will be on behalf of an Event Leader or Organiser using our Services to run an event. 

We collect basic Personal Data such as your name and email address when you register with us and as you use our Platform.

We may also collect:

Financial Data including bank account and payment card details.

Transaction Data including details about payments and other details of the Services you have purchased from us.

Technical Data which is information about your equipment, browsing actions and patterns and includes internet protocol (IP) address, your login data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technology on the devices you use to access this Website.

Profile Data including your username, password, and any other custom data required for access to our Membership pages.

Usage Data includes information about how you use our Platform and Services e.g. bookings you make, communities you join, interactions you make within the community.

Marketing and Communications Data includes your preferences in receiving marketing from us and your communication preferences.

Interaction Data includes any information that you might provide to any chat forums and news posts on the Platform.

Cookies Data Like many websites, we use “cookies” to enhance your experience and gather information about visitors and visits to our websites. See Cookies below for information about cookies and how we use them.

Attendee Data At the point of booking an event the parent or guardian may be asked to provide information about a child, this may include but is not limited to; the child’s name, date of birth, dietary requirements or medical conditions (if any) that you chose to provide.

Events4Kids does not target and makes no offer directly to children (defined as anyone under the age of eighteen). Our events are targeted at the parents or guardians of children.  Booking of events is targeted towards the parent or guardian of children.  

Although visitors of all ages may navigate through our website, we do not knowingly allow anyone under the age of eighteen to create a profile on our website. If, following a notification from a parent, guardian or discovery by other means, a child under eighteen has improperly created a profile on our site by using false information, we will cancel the child’s account and delete the child’s personal information from our records.

 

When your Data is Collected

To make the information in this Policy easy to understand, we have highlighted different occasions when Events4Kids could potentially collect personal information from you. 

Personal Data is collected from you when you:

  • Register for a Newsletter
  • Become a Community Member, Event Leader or Organiser
  • Upload or provide us with content
  • Fill in forms on our Platform;  such as to create events or a community profile
  • Correspond with us by post, phone, email or via our Platform
  • Join a Group Community
  • Book an Event
  • Give us feedback or write a review

or it may be provided to us by third parties:

  • such as advertising networks, analytics providers and search information providers such as Google Analytics, or
  • business partners, suppliers and sub-contractors

or it may be collected automatically:

  • Technical Data is automatically collected using cookies and other similar technologies. See Cookies below.
  • Usage Data is collected as you use the Platform. For example, when you join a community group, send a message to another community member, comment or interact with posts.

or by combining it with other data:

we may collect statistical or demographic data (“Aggregated Data”) which is not Personal Data because it does not personally identify you, but if it can be used to identify you when combined with Personal Data we will apply the same level of protection to the Aggregated Data and treat it like Personal Data.

 

How We Use Personal Information

Events4Kids uses the data we collect to provide you with the Products and Services we offer, which includes using data to improve and personalise your experiences. We also use the data to communicate with you, for example, informing you about your account, new events or services available, security and other types of updates.

Events4Kids uses the data for the following purposes:

Providing the Events4Kids Experience

We use data to provide, operate, support and improve the Events4Kids Events and Services we offer to ensure you can sign up to and attend events as effortlessly as possible. This processing is necessary for the performance of the agreement we have with you.

Customer Support

We use data to respond to customer enquiries, diagnose problems, and provide other customer care and support services. This processing is necessary for the performance of the agreement we have with you, as well as to serve our legitimate interest.

Events4Kids Continuous Improvement

We use data for research purposes and to develop and improve Events4Kids, including identifying what events and event locations we need to meet your interests, and developing and adding new features or capabilities, such as using error reports to improve security features. This processing is necessary to serve our legitimate interests.

Security, Safety and Dispute Resolution

We use data to protect the security and safety of our website and our customers, to detect and prevent fraud, to resolve disputes and to enforce our agreements. This processing is necessary to serve our legitimate interest and to help protect you against fraud.

Business Operations

We use data to develop aggregate analysis and business intelligence that enable us to operate, protect, make informed decisions, and report on the performance of our business. This processing is necessary to serve our legitimate interests.

Communication, Marketing and Advertising

We use the data we collect to deliver and personalise our communications with you. For example, we may contact you by email or other means of electronic communication (including through the on-site messaging function) to inform you about new Events4Kids events or Services, security or software updates, update you on a support issue, or invite you to take part in a survey. This processing is necessary to serve our legitimate interests. We may also use cookies and similar technologies to provide the most relevant Events4Kids advertising to you. How and Why We May Share Personal Information

Events4Kids does not, and will not, sell personal information about our members. 
We are committed to providing you with a service, not making money from your data.
We only disclose your data as authorised in this Policy.

We may share information with the following types of third parties;

Event Leaders, Organisers and their Third Parties

The majority of Events4Kids events are run and managed by Event Leaders and their Organisers. We do not control an Event Leader’s booking process nor the Personal Data that they collect. When you register for, or otherwise provide information to Events4Kids in conjunction with an Event Leader for an event, whether that information is yours or a third party’s, in connection with a booking, registration, or transfer, ask a question about the event, or in any way communicate or interact with that Event Leader, they will receive and may use the information you provide.

Where an Event Leader lists an Organiser on their event page, that Organiser may also receive the data you provide in support of running the event.   Other third parties that are involved in or on whose behalf an event or activity is promoted, may receive that Personal Data as well. For example, a venue may require attendees’ name and date of birth for their insurance purposes.   

We allow Event Leaders to use our email tools to contact Community Members who have registered or booked their current and past events, so you may receive emails from our system that originate with such Event Leaders.  If you registered for an event on the Platform, your email address and all booking information they request are available to them.
The Event Leader may then send you marketing or other communications, which may be subject to its own, separate privacy policy. Likewise, if you provide your mobile phone number, you may receive information messages related to the service, event, activity or information in which you’ve expressed interest.

Third Party Event Providers

We sometimes use third parties to provide events, or parts of events, sometimes in partnership with us and sometimes in full. We only share your personal data with such third parties as necessary, and your personal information will be shared with these agents or contractors only for the purpose of being able to run the event and to enable your participation in it.

 

Third Party Service Providers

Printing and merchandising companies, couriers and postal delivery services in order to be able provide you with any services and goods that you have requested.

IT service providers who assist us with the operation of our IT systems

Marketing Analytics companies that give us insight into our members and our products to enable us to be more effective and efficient.

Payment providers that process credit and debit card payments and refunds on our behalf.

It is our legitimate interest to process your personal data for these purposes.

 

The Legal Bases for Using Personal Information

There are different legal bases that we rely on to use your personal information, namely:

Performance of a contract

The use of your personal information may be necessary to perform the agreement you have with us. For example, to complete your purchase of a place on an Events4Kids event, to register and maintain your account, to help with delivery issues and to handle refunds.

Consent

To be able to contact you to inform you about events and news that we think you will be interested in, we are required to gain your consent by opting in to receive such marketing communication from us. You can opt-out and withdraw your consent at any time.

Legitimate interests

We may use your personal information for our legitimate interests. For example, we rely on our legitimate interest to analyse and improve Events4Kids, the content on our website, to send you notifications or information about Events4Kids events that you have registered for, or to use your personal information for administrative, fraud detection or legal purposes.

 

Security, Storage and Retention of Personal Information 

Events4Kids is committed to protecting the security of your personal information. However, while we take reasonable precautions to guard the personal information we collect, no security system is impenetrable.

While no Service is completely secure, Events4Kids takes precautionary measures to help prevent information about you from loss, theft, misuse and unauthorised access, disclosure, alteration and destruction. For example, we store the personal data you provide on computer systems that have limited access and that are in controlled facilities. We also ensure that our third-party data centre vendors provide adequate security measures. Additionally, your data is protected with encryption, such as Transport Layer Security (TLS), during transmission over the Internet. Please note, that your password is stored using a one-way hash, which means that it cannot be recovered (or disclosed) by anyone, including Events4Kids, it can only be reset.

You can only access your Events4Kids account information and our service through the use of an individual user login and password. To protect the confidentiality of personal information, you must keep your password confidential and not disclose it to any other person. Please change your password (within the Account Details section) immediately if you believe your password has been misused and inform us at support@Events4Kids.co.uk. You should always log out and close your browser when you finish your session. We will never ask you to disclose your password in an unsolicited phone call or email.

Retention

Events4Kids will retain your personal information for as long as we deem it necessary to enable you to use the website and your Events4Kids account, to provide services to you, to comply with applicable laws (including those regarding document retention), resolve disputes with any parties and otherwise as necessary to allow us to conduct our business.

In all other instances, if you do not sign into your account on Events4Kids.co.uk for a continuous period of two years, we will delete your account and all the information we hold on you.

Your Rights and Choices

Your Rights

We want you to be in control of how your personal information is used by us. You can do this in the following ways:

  • you can ask us for a copy of the personal information we hold about you
  • you can change some of your personal information, or you can ask us to correct any of the personal information we hold about you
  • in certain situations, you can ask us to erase, block or restrict the personal information we hold about you, or object to particular ways in which we are using your personal information
  • in certain situations, you can also ask us to send the personal information you have given us to a third party

Where we are using your personal information based on your consent, you are entitled to withdraw that consent at any time. Moreover, where we process your personal information based on legitimate interest or the public interest, you have the right to object at any time to the use of your personal information.

We rely on you to ensure that your personal information is complete, accurate and up to date. You can do this within your account.

We will respond to your request as soon as possible but certainly within 30 days. We are committed to working with you to obtain a fair resolution of any complaint or concern you may have about our use of your personal information. Your Choices

If you wish to access, edit or remove profile information or change your password, you can do so by logging in to your Events4Kids account or sending an email to support@Events4Kids.co.uk.

If you wish to permanently delete your account and all the data we hold, you can do so from your account selecting Delete Account.  Note that once your account is deleted you will no longer be able to take part in any events.

We will communicate with you through on-site messages, and updates to support tickets, which you can read and respond to by logging onto your account.

In addition, you can choose to receive email notifications of messages and updates to support tickets.

We would also like to be able to send you marketing emails, with news and information which we believe will be of interest to you, for example, advance notice of events being published, or news about general developments in Events4Kids.

You can choose to opt in to receive such marketing communications from Events4Kids in the profile section of your account.

If you subsequently decide you no longer wish to receive such marketing communications, you can follow the instructions included in every email sent to you via the “Unsubscribe” section. You can also opt out of marketing communications by updating this setting within your account details.

Please note, regardless of your communication settings, we will continue to communicate with you regarding changes to terms and conditions, policy updates, routine customer service messages such as information about current or past purchases, delivery of products, service interruptions, data breaches or other significant information about Events4Kids.

 

Our Use of Cookies and Other Similar Technologies

We may use cookies and similar technologies like pixels, tags, web beacons, and other identifiers to help us personalise our website for you, remember your preferences, understand how users are using our website or app, and help customise our marketing offerings.

Cookies
