We respect your right to privacy and will only process personal information under the General Data Protection Regulation ((EU) 2016/679) (“GDPR”) and any national laws in the UK including the Data Protection Act 2018 or any successor legislation to GDPR (“Data Protection Legislation”).

The prime purpose of collecting your data is to enable us to successfully manage your membership, the events that you choose to book, any products you purchase, and the Community aspect of the website.

If you do not accept and agree with this Privacy Policy, you must stop using our Platform immediately.

This Privacy Policy (the “Policy”) explains the personal information we collect from you, either directly or indirectly, and how we will use it. Personal information is any information that can be used to identify you or that we can link to you.

The terms “we”, “us”, or “Events4Kids” are each intended as a reference to Events4Kids.

The terms “Event Leaders” and “Organisers” refer to individuals using Events4Kids to advertise their events. They are not employed by Events4Kids.

This Privacy Policy applies to all users of the Platform, including customers booking events or purchasing products, and Event Leaders or Organisers who create accounts, list events, or connect third-party services such as Zoom.

3. WHAT PERSONAL DATA DO WE COLLECT?

When you use or interact with us through the Platform, we may collect Personal Data.

  • Financial Data including bank account and payment card details.
  • Transaction Data including details about payments and services purchased.
  • Technical Data including IP address, browser type, operating system and usage data.
  • Profile Data including username and password.
  • Usage Data including event bookings, product purchases, and community interactions.
  • Marketing and Communications Data including communication preferences.
  • Cookies and similar technologies used for essential functionality, security, analytics, consent management, and to improve user experience.
  • Attendee Data including limited information about children provided by parents or guardians for event participation.

Zoom Integration (Events4Kids Zoom Integration)

Events4Kids offers an optional Zoom integration for Event Leaders and Organisers that allows Zoom meetings to be created and managed for events hosted on our Platform.

Data accessed from Zoom

  • Basic Zoom account identifiers (such as Zoom user ID and, depending on permissions granted, email address)
  • Meeting-related data including meeting ID, meeting topic, start and join URLs, scheduled start time, duration, and time zone

We do not access Zoom recordings, chat messages, webinar content, or participant lists.

Why we access this data

To allow Event Leaders and Organisers to create and manage Zoom meeting links for their events.

What we store and for how long

Zoom OAuth access tokens are stored securely within the WordPress database only for as long as the integration remains active. Meeting metadata is retained only for the lifetime of the related event.

Who we share it with

Zoom-related data is shared only with Zoom Video Communications, Inc. as required to provide the integration. We do not sell or share Zoom data with any other third parties.

Personal Data is collected when you:

  • Register for a newsletter
  • Create an account
  • Book an event
  • Purchase a product or digital resource through the Platform
  • Join a community
  • Communicate with us

5. HOW DO WE USE YOUR INFORMATION?

Events4Kids uses personal data to operate the Platform, deliver events, fulfil product purchases, enable access to partner-provided services, communicate with users, improve services, and ensure security.

Events4Kids does not sell personal information.

Event Leaders and Venues

When you book an event through Events4Kids, the Event Leader running that event has access to the information you provide during the booking process. This may include contact details and any additional information required to safely and effectively run the event.

In some cases, Event Leaders may be required to share relevant attendee information with a third-party venue or location where the event is taking place. This is typically for operational, safety, safeguarding, insurance, or capacity management purposes. Only the information necessary to run the event is shared.

Event Leaders and venues act as independent data controllers for the personal data they receive and are responsible for handling that data in accordance with applicable data protection laws and their own privacy policies.

Partner Organisations (Product Purchases)

In some cases, Events4Kids may work with partner organisations to provide products or digital resources sold through the Platform. Where a product purchase requires an account to be created or access to be granted by a partner organisation, we may share relevant personal information with that partner.

This information is limited to what is necessary to fulfil the purchase and may include name and email address. Partner organisations act as independent data controllers for the personal data they receive.

Events4Kids does not sell personal data and does not permit partner organisations to use shared data for unrelated marketing purposes unless you have provided separate consent.

Zoom Video Communications, Inc.

When a user enables the Zoom integration, certain data is shared with Zoom Video Communications, Inc. to create and manage meetings. Zoom processes this data under its own privacy policy: https://explore.zoom.us/en/privacy/

Website Analytics and Security Providers

Events4Kids uses trusted third-party service providers to support website analytics, security, and performance, such as Google Analytics, Google reCAPTCHA, and website security services. These providers process data in accordance with their own privacy policies and applicable data protection laws.

Zoom Integration Data Retention

Zoom OAuth tokens are deleted immediately when a user disconnects the Zoom integration or revokes access in their Zoom account. Meeting links and metadata are removed when the associated event is deleted or expires.

10. COOKIES AND SIMILAR TECHNOLOGIES

Events4Kids uses cookies and similar technologies to ensure the Platform functions correctly, remains secure, and to understand how the website is used.

Some cookies are strictly necessary for the operation of the Platform, including those required for account login, bookings, payments, security, and consent management.

We also use analytics cookies to help us understand how visitors use the website so we can improve performance and usability. This includes the use of Google Analytics, which collects information such as pages visited, time spent on the site, and general usage patterns. This information is processed in an aggregated and anonymised form where possible.

Security-related cookies may be set by services such as Google reCAPTCHA and WordFence to protect the Platform from spam, abuse, and malicious activity.

Payment-related cookies may be set by Stripe to support fraud prevention and secure payment processing. Events4Kids does not store full payment card details.
